Position Objectives:
The Town of Springfield is seeking a detail‑oriented, organized, and community‑minded individual to fill a 40‑hour per week benefited position combining two roles:
• 20 hours per week – Assistant Town
Clerk
• 20 hours per week –
Grant Accountant
This position supports the Town Clerk’s Office, the Finance Department and the Town Manager, providing essential administrative, financial, and public‑facing services.
Assistant Town Clerk – Key Responsibilities:
• Assist with maintaining checklists, managing land records, and processing
documents
• Provide customer service, issue licenses and permits, notarize documents, and
process voter registrations
• Record real estate transactions and receive payments
• Assist with all election-related duties; evening hours required during
elections
• Attend meetings and prepare minutes when needed
• Perform duties as outlined by State Statute and Town Charter
• May serve as Acting Town Clerk during absences
Grant Accountant – Key Responsibilities:
• Oversee financial administration of federal, state, and private grants
• Monitor expenditures for compliance with grant requirements
• Prepare financial reports, reimbursement requests, and drawdowns
• Track revenues and expenditures in the general ledger
• Ensure compliance with Uniform Guidance (2 CFR Part 200) and other
regulations
• Coordinate with departments to document and support grant activity
• Review invoices, purchase orders, payroll allocations, and reconcile accounts
• Maintain accurate grant files and track reporting deadlines
• Assist departments with grant budgets and allowable cost identification
Qualifications:
• Associate degree in Accounting, Finance, or related field preferred;
experience may substitute
• 2–4 years accounting or finance experience (grant experience strongly
preferred)
• Knowledge of municipal operations, land records, and election processes
helpful
• Strong computer skills, including Microsoft Office and accounting software
• Ability to read and understand laws, rules, and regulations
• Excellent attention to detail, organization, and independent judgment
• Strong communication skills and ability to work with the public
Work Environment & Additional Information:
• Primarily office‑based; extended computer work expected
• Occasional evening hours for elections and meetings
• Position is non‑exempt
under the Fair Labor Standards Act
• Heavy workload periods may require additional hours
